The current system for the AIN meetings mean many people in the Union cannot get to the meetings because of time zone difficulties. Therefore a majority of the meetings we’ve had have been cancelled because not enough people showed up or people had to disappear because of the time of day. What I’m proposing is that we have a set time for every AIN meeting that works for people in every time zone, which means that as many members as possible can make it to the meetings. Here are the key parts of the reform:
Every meeting will be held at a set time agreed by a majority of AIN members in this thread. Using this meeting planner, the best time to hold the meeting is between 15:00 BST (9:00 CT, 22:00 Singapore time) and 21:00 BST (15:00 CT, 4:00 Singapore Time).
At least one administrator must be present at every meeting to chair it.

A new group of threads would be created under the forum sub-section "AIN Meetings"
Topics of Discussion: For the week prior to the meeting, people can post topics they wish to discuss at the next meeting, therefore each meeting will have some discussion in it.
Meeting Calendar: This would be implemented allowing every member to see what dates the meetings are held. This prevents confusion amongst members.

Having seen the other thread about today's meeting, clearly there is a split between having one meeting and two. Therefore I've opened a poll at the top of this thread to decide whether or not to include having one meeting as part of the reform, or two.
If you do not vote, you may end up not getting the meeting time you prefer.

So did I.
If we end up going with one meeting, though, I think a better time to have it would be somewhere between 21:00 and 01:00 UTC (10pm-2am BST, 4pm-8pm CDT, 5am-9am Singapore). Of course, my notion of what a reasonable time would be could well be skewed by the fact that I'm a college student and am awake at unusual hours (for my timezone), so if most of our European members are asleep by midnight, my proposed times would pose a problem.
So then, if we end up going with two meetings, maybe the North Americans and Western Europeans could meet between 19:00-23:00 UTC (morning in Hawaii, early afternoon here in LA, late afternoon in Iowa) and the Eastern Europeans and Oceanians/SE Asians could meet between 10:00-16:00 UTC (early afternoon in Romania, evening in Singapore, early night in Oz)?

The problem with two meetings is that there needs to be a common chairperson, who can control the discussion in the later meeting to such a point where arguments already made aren't repeated and will have to update the other members of what was agreed in the first meeting.
This will always put an unfair advantage to the participants in the first meeting. Perhaps we could switch who has the first session around every other week?
Being in the UK and a nightowl - I would nominate myself as someone who can attend both meetings and keep the second updated if the president/vice-president are not able to commit to being at both meetings.
I have not voted as I am still unsure at this time...
